The use of information received by the UTNOA HTML Editor Chrome extension will adhere to the Chrome Web Store User Data Policy, including the Limited Use requirements.

Homograph Defender checks the hostname of the pages you open only inside your browser. In Gmail, it reads only the destinations and visible text of links in the email you open, also only inside your browser. It does not transmit or store URLs, browsing history, email content, or text pasted into its popup. The use of information received by the Homograph Defender Chrome extension will adhere to the Chrome Web Store User Data Policy, including the Limited Use requirements.

Workspace Assist's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Workspace Assist and Google user data (English summary)

This section summarizes how Workspace Assist (the admin console at workspace-assist-utnoa.web.app and the Workspace Assist Chrome extension) accesses, uses, stores, shares and protects Google user data.

Data accessed. Only after the user grants the permission on Google's consent screen:

  • Admin console (the customer's administrators): Google Workspace audit reports (admin.reports.audit.readonly); files created by the app in the customer's Google Drive, such as the company rules file and inspection reports (drive.file); the domain names of the company's Google Workspace, only when the owner presses "Load domains from Google" (admin.directory.domain.readonly, domains.list); whether one person is a super administrator, only when the owner hands over the owner role to that person (admin.directory.user.readonly, users.get with fields=isAdmin).
  • Chrome extension (employees): Google Tasks (view, add, complete, edit, delete; tasks); Google Calendar events and the list of calendars, read-only (calendar.events.readonly, calendar.calendarlist.readonly); the company rules file shared by the administrator (drive.file); for the one file or folder the user selects in the Google Drive web UI, its name, link and sharing permissions, and, only when the user clicks, adding, changing or removing a permission and changing link sharing for that one item (drive). File content is never read and ownership is never transferred. When the user types a name or email address to add a person, names and email addresses that match the typed text are searched in the company directory, the user's contacts and "Other contacts" to suggest recipients (directory.readonly, contacts.readonly, contacts.other.readonly).
  • Gemini features of the Chrome extension (only if the employee turns them on in the extension settings): the names and colors of the user's own Gems, read from the Gemini page (gemini.google.com) that the user has open, and the IDs, titles, emoji and last-opened times of the user's own notebooks, read from the Gemini Notebook page (notebook.google.com) that the user has open, to list them in Gemini's sidebar and in the extension panel. Gem instructions, notebook sources and conversations are not read. This data is read from these pages, not through Google APIs. It is kept only in the extension's storage in the user's Chrome, together with the IDs of pinned Gems and notebooks, the time a Gem was last opened and display settings, and is never sent to UTNOA servers (pinned IDs are synced by Chrome sync to the same user's Chrome). Turning the feature off in the settings stops it on these pages.

Use. Google user data is used only to provide these user-facing features. It is not sold, not used for advertising, not used to train or improve AI or machine learning models, and not transferred to third parties. No person at UTNOA reads it, except with the user's consent, for security purposes, or to comply with the law.

Storage and sharing. Google user data is processed only in the memory of the user's browser, directly between the browser and Google APIs. It is never sent to or stored on UTNOA servers, with one exception: the company's domain names loaded by the owner, which are stored for the sign-in check. At sign-in, UTNOA's server receives the Google ID token (Google account ID, email address, Google Workspace domain). UTNOA stores only: the Google account IDs of the owner and the administrators added by the owner, those administrators' email addresses, the company's domains, the Drive file ID of the company rules file, the contract or trial status, and the payment provider's reference IDs. Google access tokens are not stored on the device or on UTNOA servers.

Data protection. All traffic between the browser, UTNOA's server and Google APIs is encrypted with HTTPS (TLS). The data UTNOA stores is kept in Google Cloud Firestore in the Tokyo region and is encrypted at rest. The database denies all direct client access; only UTNOA's dedicated server can read and write it, through a service account limited to database access and log writing. On every request the server verifies the Google-signed ID token and the company's contract and membership, and never returns another company's data. Access to the Google Cloud project is limited to the operator's account, protected with 2-step verification, and secrets such as payment keys are kept in Google Cloud Secret Manager. Server logs contain fixed error codes only, never Google user data. Sharing changes happen only when the user clicks, and adding an external person or turning on "Anyone with the link" requires a confirmation. If a data breach is suspected, UTNOA investigates and contains it immediately, notifies affected customers, and reports it as required by law.

Retention and deletion. Google user data is not retained; it is discarded when the user closes the panel or the page. The Gemini names, pinned IDs and display settings described above are kept only in the extension's storage in the user's Chrome. Contract and access data is kept only while the contract is active and is deleted on request after the contract ends, except records that the law requires us to keep. Users can revoke Workspace Assist's access at any time at myaccount.google.com/permissions. Requests: info@utnoa.com.
